This article explains why and how to use the Capacity tab type within a report. To test the tab, try this demo.

Why should you use it?

You can use the Capacity tab to visualize a user’s capacity based on the remaining time for assigned issues and their due dates over a configurable planning interval, such as weekly, biweekly, or monthly periods.

Unlike the Board backlog view, the Capacity tab helps you determine whether current or upcoming sequential sprints are overloaded, whether there is room to assign additional issues, and whether any assigned issues are overdue. This allows you to plan capacity without manually checking each user’s remaining time for every sprint.

Additionally, the Capacity tab can display capacity for sub-tasks. In comparison, boards do not display sub-tasks because sub-tasks cannot be assigned to sprints.

How is capacity calculated?

A user’s availability is calculated based on the number of working hours per day defined in the Global time tracking settings, the working days configured in the report calendar, and the remaining time and due dates of the issues assigned to the user.

How can you configure this tab?

You can configure the tab using the Summary section and the report sidebar.

  • The Summary section contains three configuration options: Group By, Interval, and Date Range.

  • The report sidebar contains three configuration options: Date field, Scope, and Misc.

Group By

Use this option to group fields under each user. For example, you can display assigned capacity by Project or Fix Version for each user.

Interval

Use this option to define the time period used to display capacity.

  • One week – Displays a one-week period starting from the current date and ending on Sunday of the current week.

  • Two weeks (current week as first week) – Displays a two-week period starting from the current date and ending on Sunday of the following week. The current week is treated as the first week of the period.

  • Two weeks (current week as second week) – Displays a two-week period ending on Sunday of the current week. The current week is treated as the second week of the period.

  • One month – Displays a one-month period starting from the current date and ending on the last calendar day of the month.

Date Range

Use this option to define how much capacity is displayed.

  • 1 interval – Displays a single period based on the selected Interval. For example, if Interval is set to One week, one week of capacity is displayed.

  • More than 1 interval – Displays multiple periods based on the selected Interval. For example, if Interval is set to One week and 2 intervals are selected, two weeks of capacity are displayed starting from the current date.

  • Manual calendar range – Lets you select the start and end dates manually using the calendar or by entering them in the date fields. The selected dates are independent of the Interval setting.

  • Auto (all issues) – Uses the latest Due Date among all issues as the end date, ensuring that capacity is displayed for all assigned issues.

Date field

Use this option to choose the date field used to calculate capacity. For example, you can replace Due Date with another system or custom date field.

Scope

Use these options to display additional columns that highlight issues requiring attention.

  • No Dates – Displays a column containing the remaining hours for issues without a value in the selected Date field. The remaining hours are represented by a green bar whose length is proportional to the remaining hours of other issues without a date.

  • Overdue – Displays a column containing the remaining hours for issues whose date is earlier than the current date. Overdue issues are represented by a red bar whose length is proportional to the remaining hours of other overdue issues.

  • Past Dates – Displays a column containing issues whose dates fall outside the selected date range.

Misc

Use these options to change how capacity is displayed.

  • Split by days – Displays a separate column for each day in the selected date range, even if no issues have that date assigned. This helps identify days where a user is assigned more work than their daily capacity.

For example, if a user has more than eight hours assigned to a single day, the workload may be unrealistic. If you assign Due Dates only on the last day of each interval, however, this option will always highlight that day.

  • Hide empty rows on slice switch – Hides empty rows when you switch to another slice or navigate between slices.

For example, if issues are grouped by Epic, rows representing issues without an epic may be hidden when you switch slices.

Features and use cases

Use Warnings to plan capacity

Enable the following warnings to help you plan and review available capacity.

  • Active issue with no remaining estimate: Capacity is measured based on an issue’s remaining hours. This warning flags unresolved issues, or issues with a status category of To Do or In Progress, that do not have a remaining estimate.

  • Completed issue with active sub-tasks and Active issue with completed sub-tasks: Capacity is still measured for sub-tasks even if the parent issue’s status is set to Done, and vice versa. These warnings help identify whether a parent issue was closed incorrectly or whether sub-tasks should be closed to match the parent issue’s status.

  • No Due Date: The Capacity tab requires issues to have a Due Date value set in the Issue View to calculate capacity. Use this warning to identify issues that do not have a Due Date.

  • Overdue: Use this warning to identify issues with a Due Date before the current date and flag them as overdue.

FAQ

Can a Time Zone impact the Overdue column?

Yes. Time zones do not change an issue’s Due Date, as confirmed by Atlassian in a separate article. However, they can affect how the Overdue column is displayed in the Capacity tab type.

For example:

  • Employee A is assigned an issue with a Due Date of May 25 and works in the Eastern Time zone. The employee is completing the task during the evening of May 25.

  • Employee B works in the Pacific Time zone. When Employee B views the same issue, an Overdue warning may appear because, in that time zone, the date has already changed to May 26.

Therefore, time zone differences can affect when an issue is flagged as overdue, even though the Due Date itself remains unchanged.

Can you use ‘role-based capacity’ and ‘Story points-based capacity’?

We understand that each team member’s capacity can vary depending on their role and responsibilities, and that Story points are commonly used to measure team capacity.

These features are currently not supported. However, we are actively working on adding role-based capacity and Story points-based capacity in an upcoming release.

Can you sort and rearrange columns within the Breakdown section?

Yes. You can sort and rearrange columns within the Breakdown section by following the steps mentioned in a related article.

Will changing the Time display format impact reports?

No. Changing the Time display format in Jira's Time tracking settings from Pretty (for example, 4 days, 4 hours, 30 minutes) to Days (4.56d) does not affect reports.

A report's Time Units setting is independent of the Time display format.

Whether the report is configured to display time using JIRA Default (1w 3d 2h 15m), Hours (66.25h), Days (8.28d), or another supported format, the report output will remain unchanged when the Time display format is modified.

How can you change the working hours and working days?

As a Jira admin, you can change the number of working hours per day by following these steps:

  1. Click the Settings (gear) icon in the top navigation bar.

  2. Select Work items.

  3. Under Work item features in the sidebar, select Time tracking.

  4. Click Edit global settings.
