Transfer calendar ownership

You may have reached this article after being unable to find a calendar using the Manage Pivot Calendars page, as described in a related article. You may also be here because you want to transfer calendar ownership from one user to another.


This article explains when and how a Jira admin can transfer calendar ownership from the Manage Saved Pivot Calendars page.

Why should you transfer calendar ownership?

By default, the user who creates a calendar becomes its owner. If that user becomes inactive or is unavailable for an extended period, you can transfer ownership to another user.

Transferring ownership ensures the calendar remains managed without affecting reports that use it. Report admins can continue to view and edit reports that use the calendar both before and after the ownership transfer.

Use search to located calendars

Like the Manage Pivot Calendars page, you can use this page to locate a calendar from the list. You can do this by searching for keywords.

  1. Enter keywords from the calendar name in the search bar.

  2. Locate a calendar by spotting the highlighted keywords in the search results.

Export list of calendars to Excel

You can export the list of calendars to Excel, which includes these fields:

  • Name

  • Preview (which days are selected)

  • Owner

  • Sharing type

This exported file helps you track changes to report ownership and and sharing settings.

For example, it can show when a report changes from private to public or when its ownership is reassigned.

As a Jira admin, you can configure Private and Public calendars from the Manage Saved Pivot Calendars page. Click the menu next to a calendar and select Configure, as shown in the above screenshot.

In the Edit Calendar dialog, you can update the calendar name, sharing settings (Private or Public), the work week, and holiday dates.

This is useful when a team relies on a calendar that needs to be updated. For example, you can modify the list of corporate or public holidays or change the work week from five days to four days while the calendar owner is unavailable.

By comparison, the Manage Pivot Calendars page lets you update these settings only for Public calendars and calendars that you own.

How can you transfer ownership of one or multiple calendars?

As a Jira admin, access the Manage Saved Pivot Calendars page by following these steps:

  1. Open the Settings menu in Jira’s top navigation bar, by clicking on the gear icon.

  2. From the dropdown, choose Manage apps.

  3. Within the Apps settings page, click on Manage Calendars.

Select one or more calendars to open the Change Owner pop-up and transfer ownership on the Manage Saved Pivot Calendars page.

Single calendar

A calendar can be reassigned from a single owner to another using the ‘Change Owner’ option in the dropdown, by following these steps as a Jira admin.

  1. Click […] in the right hand side of a calendar.

  2. Select Change Owner.

Multiple calendars

Multiple calendar can be reassigned from a single owner to another using the ‘Change Owner’ hyperlink, by following these steps as a Jira admin.

  1. Select individual calendars using the checkbox to the left of the calendar name or select the entire set of calendars by using the top checkbox in the column.

  2. Click the Change owner link that appears.

After selecting one or more calendars, use the pop-up to transfer ownership.

  1. In the pop-up, the current owner is displayed. Open the New owner dropdown, search for the user, and select the new owner.

  2. Click Change to confirm.

Who can see or modify a calendar?

Calendar permissions are managed separately from report permissions. The examples below describe who can view, reassign, and modify calendars.

Who can see a calendar

A report owner or report admin can select the calendar used in a report from the list of available calendars, including Public calendars and Private calendars that they own.

For example, a report owner can select a Private calendar they previously created for a report.

A report admin can view the selected calendar and its configured settings, regardless of whether the calendar is Private or Public. However, they cannot modify the calendar because they are not its owner.

On the Manage Pivot Calendars page, users can see their own Private calendars and all Public calendars available to other app users.

Who can reassign the calendar used in a report

Inside a report, a report owner or report admin can select which available calendar is used.

For example, a report owner can select a Private calendar they previously created for a report.

A report admin can view the selected calendar and its configured settings. However, if they replace a Private calendar with another calendar, they cannot switch back to the original Private calendar because they are not its owner.

Who can modify calendars

A calendar owner can modify their own calendar, make copies of calendars they own, make copies of Public reports created by other users, and make copies of the Default calendar.

A Jira admin can modify any calendar from the Manage Saved Pivot Calendars page and make copies of any report. From this page, they can also transfer calendar ownership to another user.
